2. What personal data we collect and why

2.1 Website visitors

When you visit tradehands.co.uk, we may collect anonymised analytics data (pages visited, time on site, device type) via Google Analytics 4, but only if you have accepted analytics cookies. See Section 6 for cookie details.

2.2 Client enquiries (contractors and site managers)

When you submit an enquiry via our "Need Workers" form or contact form, we collect:

  • Name and company name
  • Phone number and email address (if provided)
  • Site location and details of your requirements

We use this data to respond to your enquiry and, where a working relationship is established, to manage bookings and invoicing.

Lawful basis: Legitimate interest (responding to a business enquiry and managing a commercial relationship).
Retention: 12 months from your last contact with us if no booking is placed; 6 years from the date of last invoice where a commercial relationship exists (required for tax and accounting purposes).

2.3 Worker registrations

When you register with TradeHands as a worker, we collect:

  • Full name, phone number, email address (if provided), and postcode
  • Primary role, CSCS card status and level
  • Availability and preferred working area
  • Right-to-work documents (copies retained)
  • Assignment history and reliability records

We use this data to match you to suitable work opportunities and to manage your engagement with us and our clients.

Lawful basis: Consent (given via the registration form checkbox). You can withdraw consent at any time by emailing hello@tradehands.co.uk. Withdrawing consent means we will no longer contact you about work opportunities and will delete your data, subject to the retention periods below.
Retention: 6 months from your last contact with us if no placement has been made; for active workers, for the duration of your engagement with us plus 6 months. Payroll records (if applicable) are retained for 6 years as required by HMRC.

2.4 Right-to-work documents

We are legally required to check and retain copies of documents confirming your right to work in the UK before your first placement. These documents are stored securely and retained for the duration of your engagement plus 2 years, after which they are securely destroyed.

3. Who we share your data with

We share personal data only where necessary:

  • Payroll partner: Worker data (name, contact details, assignment details) is shared with our umbrella/payroll partner for the purpose of processing weekly pay. Our payroll partner processes this data as a data processor on our behalf.
  • Clients (end users): For each assignment, we share the worker's name, role, CSCS card number, and contact phone number with the relevant client. No additional personal data is shared without your consent.
  • Resend (email delivery): Form submissions from this website are processed via Resend (resend.com). Resend acts as a data processor and processes your submission data solely for the purpose of delivering the notification email to us.
  • Google Analytics: If you have accepted analytics cookies, anonymised usage data is shared with Google Analytics. No personal identification data is sent.

We do not sell, rent, or trade personal data. We do not share data with advertising networks.

4. Your rights under UK GDPR

You have the following rights regarding your personal data:

  • Right of access: Request a copy of the personal data we hold about you.
  • Right to rectification: Ask us to correct inaccurate or incomplete data.
  • Right to erasure: Ask us to delete your data, subject to legal retention obligations.
  • Right to restriction: Ask us to limit how we use your data in certain circumstances.
  • Right to data portability: Receive your data in a structured, machine-readable format.
  • Right to object: Object to processing based on legitimate interest.
  • Right to withdraw consent: Where processing is based on consent (worker registrations), withdraw consent at any time.

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Form submissions are transmitted via encrypted connections (HTTPS). Data is not stored on this website — form submissions are sent directly to our secure email inbox via Resend.
